Document Redlining
You can turn on document redlining by setting the Application Option DOCUMENT:STORE_REDLINE_VERSION to YES. During signature stage, individual approvers are able to view the redline version of the document prior to signoff by clicking the Redline icon .
The redline version of the document is created when the final review complete activity is generated. Once the review complete activity is received, the Review Group Administrator then accepts the changes in the documents by doing the following:
- Checking out each document.
- Accepting All Changes ONLY.
NOTE: If you make changes at this stage, the redline copy will not match the final copy.
- Saving and checking in the document.
- Completing the activity.
The system will then have two documents:
- One copy of the document with the redlining
- One copy of the document without the redlining
When the document goes into signature stage and PDF conversion is turned on, the system creates the PDF from the copy of the document for which the redlining was accepted. You then have three copies of the document:
- One copy of the document for which the changes have been accepted
- One copy of the document with the redlining
- One copy of the document in PDF format that was created from the copy for which you accepted the redlining (the first bullet item above)
Based on the setting in Application Options, both the redline copy and the PDF copy can be viewed from the Signature or Training activity.
If the Change Order is rejected and taken out of the signature stage, the following will occur:
1. All signature activities are deleted.
2. All TMS-converted PDF documents are removed.
3. The system reverts back to the redline copy.
